Cost of Hiring a QuickBooks Bookkeeper: Two Lines, Not One

Price the subscription and the bookkeeper as two lines. See Intuit's plan tiers, who pays for the subscription, and what Intuit charges for the work.

The cost of hiring a QuickBooks bookkeeper is two numbers, and a fee quote only shows you one. The fee is the visible line. Underneath it sits a QuickBooks subscription that gets billed every month regardless of who keeps the books, and Intuit publishes exactly what that costs, from $38 a month for Simple Start to $340 a month for Advanced.

Those two lines move independently. The person you hire can change your subscription bill, and the plan you are already on can decide whether a bookkeeper is allowed in at all.

The Cost of Hiring a QuickBooks Bookkeeper Starts With the Subscription

Start with the software, because it is the line that exists whether or not you hire anyone. Intuit prices QuickBooks Online by plan, and each plan carries a fixed number of billable users plus a separate allowance for accountants.

Simple Start is $38 a month and Advanced is $340 a month, so the software line is set by which plan the books need rather than by who keeps them. The free plan is where that gets decided for you: Intuit lists QuickBooks Free at $0 a month with 1 user and no accountant access, and tells you to upgrade to a paid plan to invite your accountant to collaborate (QuickBooks Online pricing). A business on the free plan has not saved the software line. It has postponed that line until the day it needs a bookkeeper in the file.

Intuit also runs introductory rates that expire, so budget against the undiscounted prices above rather than against the first invoice.

Does Your Bookkeeper Need a Paid User Seat?

Usually not, because Intuit counts accountants apart from users. Every paid plan carries its accountant allowance on top of the included seats, and only Advanced lifts that allowance, to 3 accountants (QuickBooks Online pricing).

Intuit answers the seat question directly. You can invite an accountant to collaborate with you for free, they can work in your account once they accept the invitation, and you can delete their access anytime (QuickBooks Online pricing).

So the access route is a cost decision rather than an IT detail. A bookkeeper who connects through QuickBooks Online Accountant, the free accountant-side product Intuit points professionals at, uses an accountant slot. One you add as an ordinary user uses a billable seat, and on a plan whose seats are full, that means moving up a tier to hire one person.

Who Intuit Bills for the Subscription

Settle the billing direction before the first invoice. Under ProAdvisor Preferred Pricing, a bookkeeper enrolled in Intuit's ProAdvisor program can pay for the client's subscription and see every firm-billed subscription in one view, and a client who prefers to pay their own can be given a direct discount for a year instead. Intuit says the program replaced the wholesale discount program for new subscriptions added on or after July 15, 2021 (Intuit, ProAdvisor Preferred Pricing).

The generic version of that question, whose name the subscriptions are in, is already one of the eight terms to get in writing in what outsourced bookkeeping costs. The QuickBooks form is sharper: firm-billed means your subscription sits inside the provider's billing account, so the price of the software and the price of leaving stop being separate questions. Neither route is wrong. What causes trouble is nobody choosing.

What Intuit Charges for the Same Work

Intuit sells the bookkeeping too, which makes its own price the anchor every other quote gets read against. The published price for Intuit Expert Full Service Bookkeeping begins at $300 a month, after an initial cleanup fee, and Intuit tells existing QuickBooks Online subscribers they can add it to the account they already have (Intuit, Expert Full Service Bookkeeping).

The exclusion list is the more useful half. Intuit states that Expert Full Service Bookkeeping does not include sending invoices, paying bills, or management of inventory, accounts receivable, or accounts payable, and does not include financial advisory services, tax advice, facilitating the filing of income or sales tax returns, creating or sending 1099s, or management of payroll (Intuit, Expert Full Service Bookkeeping).

The cleanup has limits of its own. Intuit says up to 20 months of past books can be cleaned by a dedicated bookkeeper, and that typical cleanup is complete within 30 days after receiving all necessary documentation (Intuit, Expert Full Service Bookkeeping).

Read the price and the exclusions together and the higher quote can be the cheaper one, because a bookkeeper who includes payables, payroll entries and sales tax filings is selling work that sits outside Intuit's scope. Intuit is equally clear about the ceiling: its bookkeepers cannot prepare or file your taxes for you as part of the service, even if they are a credentialed CPA (Intuit Experts).

Does "QuickBooks Certified" Justify a Higher Rate?

A QuickBooks certification answers a narrower question than it sounds like, and joining the program that issues it costs nothing. Intuit invites accounting professionals to sign up for free and describes becoming a ProAdvisor as signing up for Intuit Accountant Suite and earning points (QuickBooks ProAdvisor Program).

The certification is an exam, and the training around it is optional. Intuit says all training provided is optional and that you can go directly to the certification exam if you choose, that an overall score below 80% means retaking the entire exam, and that recertification for QuickBooks Online Certification Level 1 and Level 2 is available annually, every May and June (Intuit, ProAdvisor training and certification FAQ).

That yearly cycle is what makes the badge checkable. Intuit warns that you are not permitted to use logos or badges if your certification has expired, so the claim carries a date whether or not the proposal shows one. Ask which level, and ask when it was last renewed.

The tier badge measures something different again. Intuit's ProAdvisor tiers run Silver at 0 to 499 points, Gold at 500 to 2399, Platinum at 2400 to 6999 and Elite at 7000 or more, and points come from client subscriptions as well as exams: an active QuickBooks Online client subscription earns 50 points, an Advanced subscription 75, a current Level 1 certification 100 and a current Level 2 certification 200 (QuickBooks ProAdvisor Program). An Elite badge therefore says as much about the size of someone's client book as about their work on your file.

A firm answers every one of these questions again for each client ledger, which is where they stop being details. Every file carries its own plan tier, its own accountant slots and its own billing direction, and a practice that never wrote those down finds them out one at a time, usually mid-cleanup.

Set two defaults for the whole book. Fix the standard access route, so every new client either invites the firm in as an accountant or does not, and fix the standard billing direction, because a client list split between firm-billed and client-billed subscriptions becomes a reconciliation every month. Price the Software and the Person Separately

Write the two lines out before you compare anything: the subscription at its undiscounted price, including any tier bump the access route forces, and the fee for the scope you need. If the provider is firm-billed and the software is rebilled inside its fee, the first line already sits inside the second, so count it once. A proposal that quotes only the second line is answering a smaller question than the one you asked. Then check the certification the way Intuit does, by level and by date, and read the fee against Intuit's own published scope rather than another vendor's headline rate.
