Accumulated Amortization

Accumulated amortization is a contra asset account carrying a credit balance. See which balance sheet caption it sits under, and what actually feeds it.

Accumulated amortization is the running total of amortization charged against an asset since it was acquired, held in an account that reduces that asset instead of adding to another one. A state accounting manual gives the function in a single line, describing the balance as a contra asset account used to report the cumulated charges against other intangible capital assets over the estimated useful life of other intangible capital assets, with a normal balance of credit and an account type of real (Texas Comptroller, Manual of Accounts, General Ledger 0397).

How a paired account of that kind behaves in the ledger, in the trial balance and through the close is the general rule set out in contra accounts. What is specific to this one is where it appears and what feeds it.

It Has More Than One Home on the Balance Sheet

Accumulated amortization is usually described as an intangibles account, and on a filed balance sheet it is not confined to one. The SEC’s rules name amortization twice: once in the property caption, alongside depreciation and depletion, and once in the intangibles caption. Both of those captions are already set out in full, the property one in where accumulated depreciation goes on a balance sheet and the intangibles one in book value to equity.

The consequence is the part worth holding. Two balances on one balance sheet can both be accumulated amortization and still belong under different captions, because the caption follows the asset being written off rather than the word on the account. Leasehold improvements are the everyday example on the property side, and their own clock is in leasehold improvements.

What Actually Feeds the Balance

Not every write-off called amortization builds one of these accounts, and the differences are settled elsewhere in this glossary.

An intangible asset with a finite useful life is amortized and one with an indefinite life is not, so only the first ever accumulates a balance, and intangible resources works that division through. Goodwill is its own case, including the private company election that turns it into an amortizing asset, and goodwill carries it. A finance lease right-of-use asset is carried at cost less accumulated amortization, which is in right-of-use asset. The pattern of the charge itself, and where the straight line method is a fallback rather than a free choice, is in straight line amortization.

One common case builds no such account at all. Bond premium in an investor’s hands is amortized by netting it against the interest reported rather than by building a contra balance, as amortization of bond premium sets out.

What It Gets Confused With

Accumulated depreciation is the usual mix-up, and the mechanics are not what separate them. Both are cumulative contra asset balances that move the same way, and accumulated depreciation works through how such a balance is built, where it stops and what happens on disposal. The difference is the asset underneath it.

The second mix-up costs more. A large accumulated amortization balance says nothing about cash and nothing about what the asset is worth. It records cost already charged to expense, and an asset can be fully amortized while it is still in use, the same stopping point the tangible side reaches.

Common Questions

The asset each one reduces. Depreciation runs against tangible assets, amortization against intangibles and against certain term-limited costs on the property side, and the balance sheet caption follows that split rather than the account name.

A credit. It is a contra asset account, so its normal balance is the opposite of the asset it sits beside, and it is a real account rather than one that closes at year end (Texas Comptroller, Manual of Accounts, General Ledger 0397).

If your firm is rebuilding intangible and lease schedules every close, you can put a real block of that work through a trial task before any client file depends on it.
