Gross sales is what a seller charged its customers over a period, added up at the amounts actually billed, with nothing yet taken out for returned goods, price concessions or early payment discounts. It measures selling activity before anything the seller later gives back changes the number.
Why the Return Says Gross Receipts or Sales
Form 1120 captions line 1a Gross receipts or sales (IRS, Form 1120, 2025), and Schedule C captions line 1 the same way (IRS, Schedule C (Form 1040), 2025). Form 1120-S and Form 1065 carry the same line 1a caption (IRS, Form 1120-S, 2025; IRS, Form 1065, 2025). None of the four carries a line captioned gross sales.
The pairing of receipts and sales is not decoration. The instruction for the Schedule C line asks for gross receipts from the trade or business, and it tells the filer to check any Forms 1099 received for business income that must be reported on the line, singling out amounts shown in box 1 of Forms 1099-NEC (IRS, Instructions for Schedule C (Form 1040), 2025, line 1).
So the return line is wider than a sales account. Fee income that never passed through the sale of a good is reported there too, which is why a client’s gross sales balance does not automatically equal line 1. Which of the two figures a statement or a management report is asking for is a separate question, worked through in gross versus net sales.
Sales Tax on the Return Line
Whether sales tax belongs in gross receipts or sales on the return turns on who the tax is imposed on rather than on who hands the money to the state.
A state or local sales tax imposed on the seller of goods or services is deductible on the taxes and licenses line, and if the seller collected that tax from the buyer, the amount collected must also be included in gross receipts or sales on line 1 (IRS, Instructions for Schedule C (Form 1040), 2025, line 23).
A sales tax imposed on the buyer that the seller was required to collect and pay over runs the other way. It is not included in gross receipts or sales and is not a deductible expense, though any part of the collected tax the state or local government allows the seller to retain is reported as income on line 6 (IRS, Instructions for Schedule C (Form 1040), 2025, line 23).
Gross Sales on the Books
On the books it is the balance in the sales account itself. Returns, allowances and discounts are posted to accounts of their own rather than against sales, so the sales account still carries the full billed total after all three have been recorded, and those accounts are set out in net sales.
What enters that account is measured by the revenue standard rather than by the return, so an amount on the invoice that the seller is only collecting for someone else does not automatically belong in it. The transaction price is the amount of consideration to which an entity expects to be entitled in exchange for transferring promised goods or services to a customer, excluding amounts collected on behalf of third parties, and some sales taxes are the example the standard gives (FASB, Accounting Standards Update 2016-12, paragraph 606-10-32-2).
An entity may also make an accounting policy election to exclude from the measurement of the transaction price all taxes assessed by a governmental authority that are both imposed on and concurrent with a specific revenue-producing transaction and collected by the entity from a customer. Taxes assessed on total gross receipts, or imposed during the inventory procurement process, stay outside that election (FASB, Accounting Standards Update 2016-12, paragraph 606-10-32-2A).
Common Questions
Before income tax, which is settled much further down the statement. Sales tax splits on the return line rather than in the sales account, since a tax imposed on the seller and then collected from the buyer must be included in gross receipts or sales on line 1 while a tax imposed on the buyer that the seller merely collects and pays over is not (IRS, Instructions for Schedule C (Form 1040), 2025, line 23).
Gross sales less three named deductions, sales returns, sales allowances and sales discounts, is net sales. Which figure a given document is asking for is worked through in gross versus net sales.
