Zoho Books Accounting Services: What Zoho Sells and Who Does the Work

Zoho publishes the seats, the roles and the add-on price. See what an outside accountant can do inside a Zoho Books file, and what Zoho does not sell.

Search for Zoho Books accounting services and two different things come back. One is the software, which Zoho prices and documents in public. The other is a person to run it, which Zoho does not sell. Zoho is specific about the first, down to the price of one more seat. That is enough to tell you what the second has to cover.

What Zoho Sells, and What It Only Points You Toward

Zoho sells software and access to it. On the service side it runs a directory of outside advisors and a partner program for the firms listed in it.

The directory is the Zoho Finance Advisor Directory. On the US edition you filter it by location and by specialization, and the specializations are 1099 tax filing, accounts payable, accounts receivable, bank reconciliation, bookkeeping, budgeting and planning, business consultation, financial statement, inventory control, payroll and migration support (Zoho Finance Advisor Directory).

The partner program is aimed at the firms doing the work. Zoho lists its benefits as free access to 50+ Zoho apps on Zoho One, early access to releases, free tech support with a dedicated partner account manager, early bird access to Zoholics, partner events and meetups, a listing on Zoho's Partner Directory, and access to a partner store for managing client subscriptions. It also states that its training and certification course is mandatory for anyone applying to become a Zoho Books partner (Zoho Books for accountants).

Read that list for what it does not contain. A listing is a referral, not a hire. Zoho is not the party that misses the deadline, reviews the work, or carries the file when someone leaves.

Zoho also sells accounting firms a separate practice-management product, Zoho Practice, which centralizes client records, tasks, documents, timesheets and billing, and says eligible Zoho partners can use it free of charge (Zoho Practice). That is more software, not somebody working inside it.

How Zoho Books Lets an Outside Accountant In

Zoho Books has a dedicated route for this, and it is not the ordinary invite. In Settings, under Organization Settings, you open Users under Users & Roles and click Invite Accountant, then enter the person's name and email address and send the invite. They are invited as an Accountant, and once they accept they can reach that organization. Zoho describes the role as the one you use for tax filing, auditing and compliance (Zoho Books, what is the Accountant role).

Everyone else arrives through a role, which is the level of access a user has in the organization. Zoho Books lists standard roles like Admin, Staff, Timesheet Staff, and Staff (Assigned Customers Only). An Admin has complete access to all modules, transactions and settings, and can create and assign roles for other users. Staff reaches every module except reports, settings and accountant. Timesheet Staff can access and log time entries in the Timesheet module. Staff (Assigned Customers Only) reaches only the modules, transactions and data related to the customers they are assigned. Default roles cannot be edited or deleted, though their access control can be modified, and you can build custom roles with narrower permissions (Zoho Books, Users & Roles).

Segmented access control is the narrower lever. Configure it on a role and you limit which records those users can view and modify, based on locations, reporting tags or bank accounts, then associate the right values with each user (Zoho Books, Users & Roles).

Approval is a separate permission again. Admins can approve transactions by default, and you can create a role with Approve checked for the modules you choose, then decide separately whether that role may edit and delete transactions it has already approved (Zoho Books, Users and Roles in Transaction Approvals).

What a Second Person Costs on Zoho's US Pricing

Zoho publishes the plan price and the price of an extra user. Each plan carries a fixed number of users, and anyone past that number is an add-on.

Past the included seats, extra users are priced per person. Zoho states that the Zoho Books user add-on costs $3 per user per month, or $2.50 per user per month billed annually (Zoho Books pricing).

The free plan is the only row where Zoho's table names an accountant separately, listing it as 1 user plus 1 accountant. Every paid row states a user count and says nothing about accountants. The free plan also stays free only while revenue for the financial year does not exceed a threshold of $50K, and add-ons are not supported on it, apart from document autoscans (Zoho Books pricing).

Seats are not the only ceiling. Zoho caps annual invoices at 1,000 on the free plan, 5,000 on Standard, 10,000 on Professional, 25,000 on Premium and 100,000 on Elite and Ultimate, and runs the same ladder for bills and expenses (Zoho Books pricing).

So the plan question and the staffing question are two different bills. The general form of that split, the subscription line and the person line, is worked through for a different ledger in what a QuickBooks bookkeeper costs.

What the Work Looks Like Inside the File

Zoho groups manual journals, bulk update, base currency adjustments, the chart of accounts and its sub accounts, budgets, transaction locking and fixed assets under the Accountant module, and sales tax payments and adjustments are recorded from there too (Zoho Books, Accountant).

A user with the Accountant role also gets a view your own staff do not. Zoho calls it Manage Clients, and it is available only to a user with that role. From it you create a client organization, which adds you to that organization in the Accountant role and emails your client to join it as its admin (Zoho Books, Manage Clients).

Its Pending Reviews tab is the working queue. Zoho populates it when tax returns are generated or need action, when an invitation to join has not been accepted, when bank work is outstanding such as pending reconciliation or uncategorized transactions, when journals sit in draft, when transactions are waiting for approval, when documents have not been associated with an entity, and when bank statements have not been added to an account. What appears there follows the permissions configured for the Accountant role, so a module the role cannot open produces no tasks (Zoho Books, Manage Clients).

The bank work itself lands in Banking, where bank feeds sync and you match or categorize transactions before reconciling them (Zoho Books, Banking). What actually reconciles is a separate question, answered in account reconciliation services.

The Controls That Stay With the Firm

Two Zoho Books features decide how much of a closed period an outside person can quietly change.

Transaction locking freezes the period. From Accountant in the left sidebar you open Transaction Locking and lock either individual modules, meaning Sales, Purchases, Banking or Accounts, each with its own lock date, or all transactions at once under a single date. You set the lock date and enter a reason, and once transactions are locked they cannot be added, modified or deleted if they were recorded before that date. You can also partially unlock a specific period rather than unlocking everything (Zoho Books, Transaction Locking).

The audit trail answers the other question, which is who changed what. Zoho Books creates a new version of a transaction each time it is changed, and the Activity Logs & Audit Trail report, under Reports and then Activity, lets you open a transaction's version history and compare any two versions, with modified fields highlighted in yellow, added ones in green and deleted ones in red. Viewing it requires Admin rights in the organization (Zoho Books, audit trail).

That prerequisite is the useful part. Invite the outside accountant as an Accountant and keep Admin yourself, and the record of what they touched stays on your side of the login. When to lock is a close decision rather than a Zoho decision, and it sits in the month-end close checklist.

What Are the Disadvantages of Zoho Books?

For a firm, the structural limit is that Zoho prices per organization, per month, so a book of client files is priced one organization at a time. The smaller published quotas are worth checking before you commit: Zoho lets you schedule 5 reports on the free plan, 50 on Standard and 200 on Professional, Premium, Elite and Ultimate, and receipt autoscans run to 50 a month on the free and trial plans, 200 a month on Standard and Professional, and 1,000 a month on Premium and above (Zoho Books pricing).

Can One Login Cover Several Client Organizations?

Yes, for the login. A user with the Accountant role works across client organizations from Manage Clients, and each client organization created there adds that user to it in the Accountant role (Zoho Books, Manage Clients). The subscription is the part that does not consolidate.

When the Constraint Is a Person, Not a Plan

If the books are late and the software is fine, moving up a Zoho plan buys seats and higher caps, not hours. Run that test before anything else. A user limit you keep hitting, or an invoice cap you are close to, is a plan problem. A backlog of uncategorized bank lines, unposted journals and unreviewed reconciliations is a staffing problem, and no tier fixes it.

A CPA or EA firm carrying a book of client files has a different problem, because the same work repeats every month across every client and the ceiling is review capacity rather than software.
